April 2, 2020 3pm
Irvington Community Schools will begin eLearning on Monday, April 6. ICS leadership and staff have spent the last several weeks preparing by refining curriculum, engaging new technology, and finalizing lesson plans. We look forward to providing your student with high-quality interactive instruction. To ensure a successful start to eLearning, ICS staff created an “ICS At-Home Guide to eLearning.” The Guide is available by clicking the button below or visiting the ICS website HERE. Please take a moment to review the document BEFORE Monday, April 6.

In previous messages, ICS Leadership communicated that eLearning would continue through May 1. However, with today’s announcement by Indiana’s Superintendent of Public Instruction, Dr. Jennifer McCormick, and new orders issued by Gov. Eric Holcomb, all K-12 public and non-public schools will remain closed for the duration of this school year. Thus, ICS eLearning will continue through Friday, June 5, the last day of the 2019-2020 school year. As this is an extremely new development (4/2/20 – 2:30 p.m.), ICS will share additional information and status updates in the next several weeks as to how this will impact the remainder of the school year.

Listed below are a number of reminders and resources specific to school operations and academics. As well, we are passing along helpful COVID-19 precautionary information. Thanks to all ICS students and families who continue to extend patience, understanding and support in this unprecedented time.

School Updates | March 18, 2020 | 7:30 p.m

Dear ICS Parents and Guardians – We just completed our two days of Chromebook distribution at all three ICS campuses to those in need of a device. The program went well, thanks to the outstanding response of many our school community members. In these uncertain times, planning for all eventualities is key and the responsibility of us all. Also…we have heard of a number of students and families who are allowing sleep-overs and other similar life-as-usual interactions. We are strongly advising you against such engagements for your children: coronavirus is now a public health crisis, and we are all being forced to change our customs and habits – for the good of the entire community. Please take the necessary precautions so that this unprecedented event can pass as quickly as possible and we can get your children back in school. Finally…“grab and go” breakfast and lunch will be served tomorrow, Thursday, March 19, at IPA for any school student in need. Thanks so much for your time and attention. You are all very important to us. — Tim Mulherin, CEO

Memorandum

To: ICS Parents and Staff
From: Irvington Community Schools

RE: Coronavirus Response Update
March 13, 2020

On Thursday, March 12, Gov. Eric Holcomb and Mayor Joe Hogsett announced a series of preventative measures aimed at containing the transmission of coronavirus (COVID-19), including the immediate shutdown of all Marion County schools. Given the mayor’s order yesterday, ICS will be closed next week, March 16-20, which is then followed by our two-week spring break.

Here at Irvington Community Schools, the leadership team and staff members have been preparing diligently for a possible shutdown, which suddenly became a reality. The news late yesterday resulted in many cascading events and decisions. Following are several important updates.

Chromebook Distribution: As a key part of our planning, we decided to be prepared to launch eLearning after spring break should a continuation of school shutdowns be extended. Our plan is to distribute Chromebooks to our K-8 families who do not have devices at home, per our survey results. Distribution will take place on Monday, March 16, from 8 a.m. – 1 p.m., and Tuesday, March 17, from 2-7 p.m. The devices will be available for pickup at your child’s respective school. Any IPA students who have need of a Chromebook will also be able to pick up their device on those same days and times. Chromebooks at ICES and ICMS may be picked up by parents and anyone on the designated pickup list for your child(-ren). Please note: we will not have eLearning in place next week. Having devices in students’ hands now will enable us to seamlessly initiate eLearning should the need arise.

Chromebook Cleaning Instructions: Use sanitary wipes only. The wipes should be gently used prior to cleaning the device to reduce the wipe’s moisture content. Do not spray cleaner directly on the Chromebook. Do not use disinfectant on your Chromebook screen. Only clean the keyboard and touch pad.

Student Medication Pickup: Parents may pick up medication from the school nurse’s office on Monday and Tuesday during the same hours noted above for Chromebook distribution.

eLearning: As you know, ICS has not utilized eLearning previously. In anticipation of a potential coronavirus-influenced school shutdown, we began training for eLearning this week in all three schools. We have worked hard on teacher preparation, outlining student and teacher expectations for a successful eLearning experience. Should there be a continued shutdown of ICS buildings imposed immediately following our Spring break (which concludes on Sunday, April 5), we will begin eLearning for all ICS students, K-12, on Monday, April 6. We will provide plenty of guidance as well as helpdesk contact information to ensure a smooth transition to our eLearning platform, Google Classroom, and the best educational experience for our students outside of the traditional classroom setting.

Grades: ICS will allow student work and assessments to be turned in through the end of the first week upon our return from spring break on Monday, April 6. Report cards will be mailed the week of April 13.

Food Service: All ICS students will be provided the opportunity to receive breakfast and lunch from Monday, March 16, through Thursday, March 19. This will be a “drive-through/to-go” service available only at Irvington Preparatory Academy, prepared by our food vendor, Aramark. Breakfast will be served from 7:30-8:30 a.m.; lunch from 11:30 a.m. – 12:30 p.m. Please note: both breakfast and lunch may be picked up in the morning if preferred.

Cleaning/Disinfecting: Our contracted cleaning crew, under the direction of Jim Miller, ICS Facilities and Maintenance Director, is taking extraordinary measures to clean and disinfect our school buildings in anticipation of reopening on April 6.

There are numerous online public health resources available to you to stay abreast of this rapidly changing situation. We recommend relying on the foremost source of accurate public health information: the Centers for Disease Control and Prevention (CDC): https://www.cdc.gov/coronavirus/2019-nCoV/index.html. Meanwhile, please continue to watch for updates from ICS on our Facebook page and through automated email/text messaging/phone delivered by our SwiftK12 mass notification system.

ICS eLearning Communication | 3/13/20 (10:45 a.m.)

ICS staff has worked tirelessly this week developing an eLearning plan to establish an appropriate digital learning environment to meet student needs and achieve academic goals without sacrificing our school’s mission and beliefs. This plan is complete and teachers are trained.

Given the Governor’s recent declaration of a 20-day waiver on required school days, we have decided to take today, Friday, March 13, and all of next week, to close all three schools with no eLearning while our staff continues to refine the program.

In the event we need to launch eLearning on the back end of spring break, our program will be robust and our instructional output will be as close to our traditional instructional model as possible. Please stay tuned for additional updates from us before the end of the day.
